Auto Call Back

Stop redialing
busy extensions.

When an extension is busy, callers can opt in to an automatic callback. Auto Call Back watches the extension and connects you the moment the person is available.

  • Opt-in callbacks
  • Automatic connection
  • Max wait and frequency you set
How it works

When the line is busy, the caller chooses what happens next.

Auto Call Back only steps in when the caller asks for it.

A call reaches an extension that is already on the phone.
  1. Press 1

Get connected when they are free

The call disconnects. Auto Call Back checks the extension as often as you set, up to your max wait, and dials it for you when it becomes available.

  2. Press 2

    Leave a voicemail

The caller leaves a message instead.

  3. Or

    Hang up

The call ends, and nothing else happens.

Inside Auto Call Back

A few clear settings.

Everything is set in a web portal. Sign in with your 3CX extension number and voicemail PIN.

General settings

Decide how long to wait and how often to check.

Set the max wait in minutes, how often the service checks the extension in seconds, and the address of your VoIPTools server. Then publish the Auto Call Back call flow to 3CX through the VoIPTools Relay with one button.

  • Max wait in minutes
  • Check frequency in seconds
  • Validate the server address before you save
  • A reminder appears when the call flow needs publishing again
Web portal access

Choose who can open what.

Pick a role and tick Settings, Logs or both to let that role open those screens. Choose whether the role signs in with a voicemail PIN or a web client password.

  • Access set for each role
  • Voicemail PIN or web client password
Why it matters

End the redial loop.

Without it, reaching a busy person is clunky: wait, hang up, redial, repeat. Auto Call Back does the waiting for you.

Redialing a busy line
With Auto Call Back
Wait, hang up, redial, and repeat until the line is free.
Press 1 once. The call disconnects and Auto Call Back keeps checking the extension for you.
Every attempt is another manual step.
It checks as often as you set, in seconds, with no extra steps from you.
Handoffs get missed and decisions slow down.
You are connected as soon as the person is available, so approvals and handoffs keep moving.
People get interrupted at the wrong time.
Callbacks are opt-in, so the experience stays helpful and professional.

Save time every day

No more repeated attempts to reach a busy extension, especially where people call each other all day.

Increase responsiveness

Connect as soon as the person is free, which speeds up decisions, approvals and internal handoffs.

Reduce interruptions

Because it is opt-in, it respects the way people work.

Where it helps

Built for busy 3CX teams.

IT and service desks

Reach the colleague you need without calling again and again while they finish another call.

Dispatch

Get connected to the right person as soon as they are free, so work keeps moving.

Sales

Opt in once and move on. The call connects when the person you need is available.

Operations

Keep approvals and handoffs moving instead of letting small delays stack up.

Anything else? Our team answers 24/7 from the USA, India and the Philippines.

How does a caller ask for a callback?+
When the extension they call is busy, they press 1 to have it monitored. They can also press 2 to leave a voicemail, or simply hang up.
What happens after they press 1?+
The call disconnects and Auto Call Back keeps checking the extension. When it becomes available, Auto Call Back dials it and connects the call.
How long does it keep trying?+
You set the max wait in minutes and how often it checks, in seconds. After the max wait, it stops trying.
Is it automatic for everyone?+
No. Callbacks are opt-in: the caller decides when they want the system to monitor and connect.
Can we use our own prompts?+
Yes. Upload prerecorded audio so the prompts sound clean and consistent.
Who can change the settings?+
You choose which roles can open the Settings and Logs screens, and whether each role signs in with a voicemail PIN or a web client password.
Can we see what the service has been doing?+
Yes. The Logs screen lists events by date and time, type (information, warning or error), method and message, and you pick which log file to view.
Can we brand the web portal?+
Yes. Custom Branding sets the header title, logo, header colors and grid colors.
Which 3CX version does it work with?+
3CX version 20. Auto Call Back runs on a Windows computer alongside 3CX and connects through the VoIPTools Relay.
