Profile Manager

Set up new users in one step.

Profile Manager lets 3CX system administrators build reusable profiles of queues, extension groups and ring groups. Assign a profile to a user, and they are added to all of it.

  • Unlimited profiles and users
  • Restricted to 3CX System Administrators
  • Encrypted with sign-in required
How it works

Build a profile once, then give it to anyone.

Make a profile for each department, team or job role. Assign it to a user, and they join everything in it.

Profiles

Tick the queues and groups a role needs.

On the Profiles screen, add a profile and tick its queues, extension groups and ring groups, then choose Save Profile.

  • Change a profile later, and every user with it is added or removed too
  • No limit on the number of profiles or users
Users

Pick a user, pick a profile, and you are done.

The Users screen shows every user next to the profiles. Select a user, tick a profile and choose Assign Profile. They are added to all of that profile's queues, extension groups and ring groups.

  • Take a user off a profile the same way, and they are removed from all of it
  • Set an agent's skill from 1 to 5 for queues that use Skill Based Routing
  • See each user's profiles, with the profile data read only
Where it helps

Made for the moments when people join or move.

A new hire starts

Give a new sales rep your sales profile, and they join every queue, extension group and ring group in it at once.

An agent changes teams

Remove the old team's profile and assign the new one. Their memberships move with them.

A team takes on a new queue

Tick the queue in that team's profile and save. Everyone with the profile is added.

Every role set up the same way

Tailor a profile for each department, team or job role, so everyone in it gets the same memberships.

Profile Manager is included in the VoIPTools Subscription.

One subscription gets you Profile Manager and 30+ other add-ons for 3CX.

Questions

Profile Manager questions, answered.

Anything else? Our team answers 24/7 from the USA, India and the Philippines.

What goes into a profile?+
Queues, extension groups and ring groups. You choose them from lists when you create or edit the profile, and you can make as many profiles as you need, for example one for each department, team or job role.
What happens when I change a profile?+
Everyone with that profile follows it. Tick a new queue or group and save, and all of the profile's users are added. Untick one, and they are removed.
Who can make changes?+
Only 3CX System Administrators can add or change profiles and assign them. Queue managers can sign in and view the profile data, read only. Everyone signs in with their 3CX extension number and voicemail PIN.
Is it secure, and where can I use it?+
All communication is encrypted, and you must sign in to use it. You can open it from any authorized location, on any device with a web browser.
Can it set agent skill levels?+
Yes. On the Users screen you can set an agent's skill for a queue on a scale of 1 to 5, as long as that queue's polling strategy is set to Skill Based Routing.
Is there a limit on users or profiles?+
No. There are no restrictions on the number of profiles you create or the number of users you manage.
What do I need to run it?+
3CX version 20 and a Windows computer running alongside 3CX, with Microsoft SQL Server (the free Express edition works). Profile Manager connects to your 3CX system through the VoIPTools Relay. The full list is under Requirements below.
