Agent Greeting

Greet every queue caller the same way.

Agent Greeting plays a recorded greeting automatically when an agent answers a call from a queue. Callers hear the same introduction every time, and agents stop repeating it on every call. In version 20 it is part of Audio Announcer.

With Agent Greeting

The greeting you recorded plays automatically each time an agent answers a call from that queue.

Set it up once

Pick a queue, give it a greeting, mark it active.

It all happens on the Agent Greetings page of the Audio Announcer portal, in your browser. After that, the greeting runs on its own.

  • Add a row and pick the queueClick + and choose the queue this greeting is for, such as your support queue.
  • Record it or upload itRecord from your desk phone, or upload your own .wav file.
  • Mark it activeEach queue has one active greeting at a time. Leave a greeting inactive until you are ready.

During setup, publish the Agent Greeting call flow to 3CX once from Settings. Settings shows when an update is ready to publish.

Record by phone

Your desk phone is the recording studio.

No microphone setup or audio software. Type a file name, click Call my Extension, and Audio Announcer calls your phone. Pick up, record your greeting after the tone and hang up. The file saves on its own.

Select a greeting and click Play to listen to it. Download a copy when you need it, switch a greeting on or off with the Active box, or record a new one. Save as many greetings as you need.

Is Agent Greeting part of Audio Announcer?+
Yes, for 3CX version 20. Agent Greeting is part of Audio Announcer, together with Recording Beep and Barge Messages, and its setup is covered in the Audio Announcer V20 documentation.
Which calls does the greeting play on?+
It plays when an agent answers a call from a queue that has an active greeting, before the conversation begins. Each queue can have one active greeting at a time.
Can each queue have a different greeting?+
Yes. You assign a greeting to each queue, and each queue has its own active greeting.
Whose voice do callers hear?+
Whoever records the greeting. Record it from your desk phone in your own voice, or upload your own .wav file.
Who can change the greetings?+
The roles you allow. Role access permissions decide which roles can upload, play, edit and delete greeting audio. People sign in with their 3CX voicemail PIN or web client password, whichever you choose.
Will it work with my 3CX?+
It works with 3CX version 20. It runs alongside 3CX on its own Windows server and connects through the VoIPTools Relay. Ask us and we will confirm your setup.
Do agents have to install anything?+
No. The portal runs in a web browser, and the greeting plays on its own when an agent answers.
Can you set it up or run it for us?+
Yes. Our paid Installation Support can set everything up end to end. If you prefer not to host it yourself, we can run your VoIPTools add-ons on AWS with monitoring around the clock and keep them updated.

Requirements, updates and documentation.

  • 3CX version 20
  • In version 20, Agent Greeting is part of Audio Announcer and is set up with it
  • The Agent Greeting call flow published to 3CX from Audio Announcer's Settings
  • A separate Windows 10 or later, or Windows Server 2012 or later, machine running alongside 3CX
  • Microsoft SQL Server 2016 or later (the free Express edition works), on the same machine or a remote server
  • VoIPTools Relay on your 3CX server, and the VoIPTools Universal Updater
  • Static IP addresses for the VoIPTools and 3CX servers, with port 7150 open. HTTPS needs a domain name (FQDN) and a valid SSL/TLS certificate.
  • A registered 3CX extension to record by phone. Uploaded files in .wav format, longer than one second.
