How a campaign runs

Five steps from a contact list to a finished campaign.

You set a campaign up once in the Dialer screen. Power Dialer places the calls and sends the messages while your team gets on with other work.

  1. Bring in your list

    Import a CSV file and match its columns to contact fields, or point the campaign at a SQL Server or MySQL database with a query.

  2. Write the message

    Type a script with contact fields such as first name, which is turned into speech for each person, or pick a recording. Add an email and a text if you like.

  3. Choose what happens

    Play the message and hang up, ask people to press 1 to confirm an appointment, or connect them to your team.

  4. Set times and limits

    Pick the start and end time, how many calls the dialer makes at once, how many lines stay free for your team, and whether to retry.

  5. Run and review

    Press Start and watch progress. Every call, text and email result shows in the report, ready to export to PDF, CSV or Excel.

Power Dialer runs one campaign at a time. A running campaign keeps going in the background, even if you refresh the page or move to another screen.

Four call types

Decide what happens when someone picks up.

Each campaign uses one of four call types, so the same list can get a simple notice, a reminder they can answer, or a live person.

Play announcement

Deliver the message, then hang up.

Power Dialer calls each contact, plays the message you set in the Audio tab and ends the call on its own.

Appointment

Press 1 to confirm, press 2 to talk.

The contact hears the reminder, then presses 1 to confirm or 2 to be connected with a customer service representative. The answer is recorded in the report.

Transfer to extension

Your extension first, then the contact.

The extension you choose is called first, and that call is then connected to the contact on the list.

Transfer to agents

Connect people to your queue.

The contact is called and the call rings every available agent in the queue you pick. If they are all busy, it waits on hold until someone is free.

Every person hears their own message.

Write one script and drop in fields from your contact list, like a first name or appointment detail. Power Dialer reads it aloud for each person, or plays a recording you upload.

A campaign can call, text and email from the same list. Choose which columns hold the phone number, email address and texting number, and use any one, two or all three.

Your list, your way

Import a file or read straight from your database.

Managers can import contacts from a CSV file and match each column to a contact field, or a campaign can pull contacts with a query to SQL Server or MySQL, such as a practice management or CRM database.

The Reports screen logs every call Power Dialer makes: who was called, when, and what happened. Group it by campaign and export it for your records.

Manager and user logins

People sign in with their 3CX extension and PIN. Managers get every screen; users see only the Dialer and Contacts.

Keep lines free

Cap the dialer's own calls, and pause dialing when the whole phone system reaches a number you set, so the dialer does not use up every line.

Pick the outgoing trunk

Add digits to the front of each number and use a 3CX outbound rule to send campaign calls through the trunk you choose.

How is Power Dialer different from Surveyor?+
Power Dialer runs campaigns on its own: it calls each person and plays your message, and only connects a person to your team if you set it up to transfer, or if they press 2 on an appointment reminder. Surveyor is a preview dialer for agents, who see each contact, read a script and take notes on every call. Both are included in the VoIPTools Subscription.
Which 3CX edition do I need?+
3CX V20, Pro or AI edition. Power Dialer includes a Call Flow Designer app, which needs one of those editions.
Can I run more than one campaign at a time?+
No. Power Dialer dials one campaign at a time. You can set up several campaigns and run them one after another.
How many calls can it make at once?+
You choose. Max Dialer Calls sets how many calls the dialer makes at the same time, and Total Max System Calls pauses dialing when the whole phone system reaches that number, so lines stay free for your team. The upper limit depends on your 3CX license and available trunks.
Where does the contact list come from?+
Import a CSV file in the Import screen, or have a campaign read contacts from a SQL Server or MySQL database with a query.
Can people respond to the call?+
Yes, with appointment reminders. The person can press 1 to confirm or press 2 to be connected with a customer service representative. Their response is recorded and shows in the report.
Which voices can I use?+
Windows text to speech, Amazon Polly or OpenAI voices, using your own Amazon or OpenAI keys. You can also upload a recording.
What if a call is not answered?+
You set how long a call rings before it drops, and whether to retry or call each number only once. A number that stays unanswered is marked Call Failed in the run report.
Who is responsible for calling rules and consent?+
You are. Use lists of people you are allowed to contact, and follow the calling, texting and consent rules that apply to you.

Requirements, updates and documentation.

  • 3CX V20, Pro or AI edition. Power Dialer includes a Call Flow Designer app, which needs one of these editions.
  • A Windows computer for VoIPTools, running Windows 10 or later, or Windows Server 2012 or later
  • Microsoft SQL Server 2016 or later. The free Express edition works, and Mixed Mode is recommended.
  • VoIPTools Relay on the 3CX server, and the VoIPTools Universal Updater
  • Static IP addresses for the VoIPTools and 3CX servers. HTTPS is recommended, which needs a fully qualified domain name.
  • Port 5451 open, and Relay port 8801 open on the 3CX server and its firewall
  • For texts: an SMS-enabled number with Twilio or Skyetel, or a mail server for email to text
  • For Amazon Polly or OpenAI voices: your own account keys
  • Simultaneous calls depend on your 3CX license and available trunks
