Audio Announcer

Beeps, greetings and notices, without agents saying a word.

Audio Announcer plays recording beeps, queue greetings and saved messages on your 3CX calls. Set them by department, queue and call type, from one console in your browser.

  • Recording beeps by department
  • Greetings for each queue
  • Saved messages in one click
Three jobs, one console

Three things your calls should never get wrong.

Each one plays at its own moment in the call. You manage all three from one browser console, with shared reports, logs and access control.

  1. When an agent answers

    Agent greeting

The moment an agent answers a queue call, that queue's greeting plays before the conversation begins, so callers hear the same introduction every time.

    One active greeting per queue

  2. Through the call

    Recording beep

A short tone lets callers know the call is being recorded. It starts after the delay you set, then plays once or repeats at your interval.

By department, for inbound, outbound or queue calls

  3. Whenever you choose

    Barge message

Click Barge In and Audio Announcer joins the live call, plays a saved message from your library, then leaves on its own.

A recorded .wav file or text-to-speech

One console for all three. Shown here: the Barge Prompts library, with Play and Barge In beside each saved message.

The case for automation

The messages that protect your business should not depend on memory.

Left to each agent
With Audio Announcer
An agent forgets to say the call is being recorded
The recording beep plays on its own, on the calls you set
Every agent greets callers a little differently
Each queue's greeting plays the same way on every answered call
Long disclaimers get rushed or skipped
A saved, versioned message plays into the call with one click
No record of what was played, or when
The barge report lists each message played, with the number, extension, file, version and time

Designed to help you comply

The recording notice no longer depends on an agent remembering to give it.

Less repetition for agents

No repeating the same intro on every call, and no reading long disclaimers aloud.

Ready for review

Reports and logs you can check at any time, with reports exported to CSV, Excel or PDF.

Inside the console

Set up each one from the same console.

Recording beep

Set the beep for each department.

Turn the beep on for a department or queue and choose whether it plays on inbound, outbound or queue calls. Set a delay before the first beep, then play it once or repeat it at the interval you choose.

  • Independent settings for each department
  • Initial delay and repeat interval set in seconds
  • Upload your own .wav beep tone
Agent greetings

Give each queue its own greeting.

Add a row, pick the queue, add the greeting and mark it active. To record, type a file name and click Call my Extension: your desk phone rings, you record after the tone and hang up, and the file saves on its own.

  • One active greeting per queue
  • Record by phone or upload an audio file
  • Activate, play, download or remove greetings
Barge prompts

Keep a library of approved messages.

Each prompt has a file name, version and description, so the right wording is easy to find. Upload a .wav file or type the text for text-to-speech, and play a prompt to check it before it goes into a call.

  • Keep the same name and add a new version when wording changes
  • Audio Announcer joins the call, plays the message, then leaves on its own
Reports

See which messages were played.

The barge report lists each prompt played into a call, with the date and time, phone number, extension, file name and version. Choose the display time zone and export the report to CSV, Excel or PDF.

Text-to-speech

Type a message, and it plays as speech.

No recording studio needed. Pick the text-to-speech engine you have access to, fill in its details and click Test to confirm it works.

  • Windows TTSUses voices already installed on your Windows server. No account or key needed.
  • Amazon PollyChoose the language and voice. Needs your own AWS account with Amazon Polly access.
  • OpenAIChoose the voice, a standard or HD model and the speed. Needs your OpenAI API key.
  • Azure OpenAIUses your own Azure OpenAI resource with a text-to-speech deployment.

Windows TTS settings: locale, gender, voice, volume and speech rate.

Where it helps

Built for the calls that carry real consequences.

Contact centers and BPOs

Give each queue its own greeting and turn on the recording beep for the departments that record, so callers hear the same introduction and notice.

Financial services and insurance

Keep approved disclosures in the prompt library with version numbers, and play the current one into a live call when it is needed.

Healthcare and medical offices

Play a saved privacy or consent notice into a call with one click, instead of reading it aloud each time.

Legal, professional services and collections

Use the barge report to see which prompt and version was played to which number, and when.

More than audio

Reports, logs, access and branding come standard.

Reports and exports

Every barge message logged with date, number, extension, file and version. Export to CSV, Excel or PDF.

Activity logs

A timestamped event log, marked as information, warning or error, for auditing and troubleshooting.

Role-based access

Choose which pages each role can see and manage. Reset a role to its original permissions at any time.

Custom Branding

Add your own logo and header title, and set the portal's header, grid and accent colors.

Questions

Audio Announcer questions, answered.

Anything else? Our team answers 24/7 from the USA, India and the Philippines.

Will it work with my 3CX?+
Audio Announcer works with 3CX version 20, Professional and Enterprise editions, on Windows or Linux, hosted or on-premises. It runs alongside 3CX on its own Windows server and connects through the VoIPTools Relay. Ask us and we will confirm your exact setup.
Does the greeting play on every call?+
It plays when an agent answers a call from a queue that has an active greeting. Each queue can have one active greeting at a time.
Can the recording beep help us meet legal requirements?+
It is designed to help you comply with call recording disclosure rules, and you control the delay and how often it repeats. It is not legal advice, so confirm the rules for your location and industry.
Do agents have to install anything?+
No. Audio Announcer runs in a web browser, so there is nothing to install on agent desktops. Agents sign in with their 3CX voicemail PIN or web client password, whichever you choose.
Can we use our own audio?+
Yes. Upload your own .wav prompt files longer than one second, or type text and let a text-to-speech engine read it.
We already use the Recording Beep, Agent Greetings or Barge Messages add-ons. What changes?+
Audio Announcer brings those three together in one console, with shared reporting, logs, role-based access and custom branding.
Can we control who has access, and match our brand?+
Yes. Role-based permissions decide which pages each role can see and manage, and Custom Branding adds your logo and header title and changes the portal's colors.
Can you set it up or run it for us?+
Yes. Our paid Installation Support can set everything up end to end. If you prefer not to host it yourself, we can run your VoIPTools add-ons on AWS with monitoring around the clock and keep them updated.
Details

Requirements and documentation.

  • 3CX version 20, Professional or Enterprise edition, on Windows or Linux, hosted or on-premises
  • A separate Windows 10 or later, or Windows Server 2012 or later, machine running alongside 3CX. Audio Announcer never runs on the 3CX server itself.
  • Microsoft SQL Server 2016 or later (the free Express edition works), on the same machine or a remote server
  • VoIPTools Relay on your 3CX server, and the VoIPTools Universal Updater
  • Static IP addresses for the VoIPTools and 3CX servers, with port 7150 open. HTTPS needs a domain name (FQDN) and a valid SSL/TLS certificate.
  • Uploaded prompts in .wav format, longer than one second
  • For text-to-speech, Windows TTS needs no account. Amazon Polly, OpenAI and Azure OpenAI need your own account and key.

Check the documentation for the current release and full setup details for your environment.
