How callers take a survey

Two ways in. One survey, answered on the keypad.

Callers reach a survey in one of two ways. Either way they hear the same prompts and questions, and every answer is saved.

  1. Way one

    An agent transfers the caller

    The agent opens the Transfer page and sends the active call straight into the survey on that extension.

  2. Way two

    A callback from a linked queue

    Link a queue to a survey on the Callback Surveys page. Callers who get a callback from that queue hear the survey afterward.

What the caller hears

  1. Your intro prompt

    A greeting you type for text-to-speech, or your own recording.

  2. Your questions

    Each question is played, and the caller answers on the keypad within the range you set, such as 1 to 9.

  3. Your closing prompt

    Plays at the end of the survey.

  4. Answers saved

    Stored in your database with the caller and agent details, ready for your reports.

Every question, in the voice you choose.

Type the question the way it should be read to the caller. Select Create to turn the text into audio with your text-to-speech voice, or upload your own .wav recording and review it on a waveform before you save.

Surveys

Surveys built from your own questions.

Each survey has its own extension, a name and a description. Add an intro prompt that plays at the start and a closing prompt that plays at the end, then move questions from the Available list into the survey.

The Reports page has three reports. Pick a date range, select Get Report, and export the results to CSV, XLS, XLSX or PDF.

  • Survey ResultsThe average score and the number of surveys taken for each question, grouped by survey, with the agent on each row.
  • Custom Survey ResultsYes and No counts for each question and agent by day, week and month, with response percentages.
  • Survey LogsEvery completed survey, grouped by survey extension, with the date, question, response, caller details and agent details.
  • Scheduled emailsSend survey reports by email daily, weekly, or on the first or last day of the month.

How do callers get into a survey?+
In one of two ways. An agent transfers the caller into the survey, for example from the Transfer page in the portal. Or you link a queue to a survey on the Callback Surveys page, so callers who get a callback from that queue hear the survey afterward.
How do callers answer?+
On their phone keypad. For each question you choose the range of answers the caller can press, such as 1 to 9. The Custom Survey Results report counts Yes and No answers.
Can we use our own recordings?+
Yes. For each question and for the intro and closing prompts, you can upload your own .wav file, or type the text and select Create to generate the audio with text-to-speech.
Which text-to-speech voices can we use?+
Windows TTS, Amazon Polly, OpenAI or Azure OpenAI. For Amazon Polly and the OpenAI options you enter your own account keys, then select Test to check the connection.
How is this different from Surveyor?+
Survey Creator runs automated surveys: the caller hears recorded or spoken questions and answers on the keypad. Surveyor is a preview dialer, where an agent places each call and asks the survey questions from a script. Both are included in the VoIPTools Subscription.
Which version of 3CX does it work with?+
The current release is built for 3CX V20. It runs alongside 3CX on a separate Windows server, connects through the VoIPTools Relay, and publishes each survey to your 3CX server.
Who can sign in to the portal?+
Users sign in with their 3CX extension and voicemail PIN. Role Access Permissions set which pages each role can open.

Requirements, updates and documentation.

  • 3CX V20
  • A Windows computer for VoIPTools, running Windows 10 or later, or Windows Server 2012 or later
  • The Windows web server role
  • .NET Framework 4.7.2
  • Microsoft SQL Server 2016 or later. The free Express edition works.
  • VoIPTools Relay on the 3CX server, and the VoIPTools Universal Updater
  • Static IP addresses for the VoIPTools and 3CX servers. HTTPS is recommended, which needs a fully qualified domain name.
  • Port 5700 open, and Relay port 8801 open on the 3CX server and its firewall
  • An email server for scheduled reports
  • Your own Amazon, OpenAI or Azure account keys if you use Amazon Polly, OpenAI or Azure OpenAI voices
